Microsoft 365 and MAP Administration

Introduction

The Membership Administration Portal (MAP) is the access point for all branches to enter the Membership Resources Area, the RBL email system and their own branch documents area using Microsoft 365 software.  The site also includes a link where branches can log into their RBL branch website area for maintenance (Umbraco).

Access to Microsoft 365 and MAP is linked directly to the branch officer's designated appointment and RBL email address (e.g., Branchname.Appointment@rbl.community) and password which is issued by RBL Membership IT Support through the County Membership Engagement Officer (MEO).

All branches should note that if they do not have access to a MAP account, they may not receive all correspondence issued electronically from Haig House.

Obtaining a New Microsoft 365 & MAP Account

The Membership Council have recently ruled that all branch officers must have a MAP account.  Branches should therefore apply for accounts for the following officials:

  • Chairman (mandatory)
  • Vice Chairman
  • Secretary (mandatory)
  • Treasurer (mandatory)
  • Membership Secretary (if appointed)
  • BCS Representative (after relevant induction etc - see below)

In addition, a MAP account may be provided for the individual responsible for maintaining the RBL branch website (e.g. BranchName.Webmaster@rbl.community).

Requests for accounts to be arranged should be forwarded to Northamptonshire.MEO@rbl.community and copied to Northamptonshire.CTO@rbl.community

BCS representative accounts will be set up as part of the training and clearance procedures as arranged through the Membership Engagement Administrator.

It should be noted that only the Chairman, Secretary, Treasurer and Membership Secretary will be granted access to branch membership listings.

When someone vacates a post with access to an rbl.community account, details of the replacement must be forwarded to the MEO (northamptonshire.MEO@rbl.community) by completion of a Mid Year MS1 Form who will arrange for the transfer to take place.  If there is no replacement the MEO must be notified and the account will be suspended.

Maintaining a Branch MAP Account

RBL MAP accounts (including email) will only be available if used regularly as they are subject to licensing  restrictions.  

The system will require the user to change their password every 90 days with a reminder sent to the account holder 14 days before, otherwise the account will be suspended at the 90 day point and the user will not have access.  Any emails addressed to the rbl.community account will not be delivered if the account has been suspended.

In this event, the user will have to contact the MEO to have the password reset.  Please see below for Password Changes.

Starting a New RBL Branch Website

All branches are encouraged to open an RBL website which is the first "port of call" for members of the public wanting to find information about their local branch via the main RBL website.  If you do not have a website, your branch will not be listed when someone searches for it.

Requests should be submitted to Northamptonshire.MEO@rbl.community attaching a completed copy of the following application form:

Password Changes

For new users, the MAP system will automatically ask you to change your password when logging in for the first time - this must be done immediately to activate the account.

Thereafter, users are required to change their passwords every 90 days (you will get a reminder and have 14 days to make the change).  You will need to know your current password when making the change.

Please note that this does not apply to the branch website login.
