Change in the membership system

In the lead up to moving the membership data onto the new database we have to have a period of time when we do not process any new joiner applications, either paper or online.  We need a period of 6 weeks to collect and process outstanding payments, before all the data is moved to the new database early in May.  So in preparation for this the following needs to happen:

1.       New joiners – completed MS4’s must be received at CDI, Eastleigh by the 27th of March at the latest, any applications received after this date unfortunately cannot be processed and the application process will need to be started again using the new membership application (further details below)

2.       Aylesford and Contact Centre have stopped sending out the current MS4 to branches

3.       We are aiming to have a PDF version of the new membership application form available in early April to try and keep to a minimum the amount of time new member details cannot be captured. The printed version that can be ordered from Aylesford should be available by early May. Although we are trying hard to keep disruption to the recruitment process to a minimum, any new applications unfortunately cannot be processed until the new database is fully operational which will be approximately the third week of May, the exact date is still to be confirmed

4.       Editing of current members details in Pro2000 will continue until 23rd April when we completely close editing, but there will still be read only access until the new database goes live.  Any amendments to member records during this time should be forwarded to the Membership Services team. The Sales Ledger will remain open for additions of cheques and journals adjustments to branch affiliation fees invoices

5.       Branches will receive their final branch statement/invoice in early April. Direct Debit collections are scheduled for the first week of May, but as in previous years a letter will be sent to all branches to inform them about the outstanding balance  

Individual members Direct Debit collection in February and March.

Unfortunately, there have been some issues with files submitted for Direct Debit collection.  This has resulted in many payment collections being rejected. We are writing to all members affected, advising them when their Direct Debit will be resubmitted.
